Privacy notice
This page explains what Kalinka does with the details you give when you book, why, on what legal basis, and what you can ask for.
Who is responsible
Kalinka decides what happens to your details and is responsible for them. Rantevo provides the booking software and handles the details on Kalinka's instructions — with one exception, the statistics below on how this site is used, which Rantevo keeps for itself and is responsible for.
What is collected, and why
- Your name, email address and phone number
- To make the booking, confirm it, and reach you if something about it changes. The emails that confirm, change or cancel it are part of the booking, so they can't be switched off. Without these details the booking cannot be made.
- Legal basis: performance of a contract — they are needed to make and keep the booking you asked for.
- Anything you type in the notes box
- It is passed on as you wrote it and staff can read it. Only put in what you want them to know.
- Legal basis: performance of a contract — you give it so the appointment you booked goes the way you want.
- Your appointments
- What was booked, with whom, when, at what price, and whether it happened — so your history is there next time.
- Legal basis: performance of a contract while an appointment is still to come. After that, Kalinka's legitimate interest in keeping a record of its own appointments and knowing you when you come back.
- Your payment, if you pay online
- Kalinka takes payment online through Stripe. You type your card details into Stripe's own page, and they go to Stripe — neither Kalinka nor Rantevo ever sees them. Stripe receives your name, email address and phone number, and what you are paying for, and keeps them as a customer record on Kalinka's Stripe account beside the payment, so a refund or a question can be matched to you; it emails you the receipt. Stripe tells this site whether the payment went through, so your booking can be confirmed and any refund you are owed can be made. The amount, and anything refunded or disputed, is kept with your booking. That customer record is deleted when your details are deleted here. Stripe keeps its own record of the payment and also uses payment details for its own purposes, such as preventing fraud; for those it is responsible itself, under its privacy policy at stripe.com/privacy.

- Your reminder settings
- An email 24 hours before each appointment, and a text too if the box was left ticked when you booked. It may arrive ticked, so untick it if you don't want texts. Reminder emails stop from the link in each one, and texts from the link in your confirmation and reminder emails; with an account here, both are also under Settings. Stopping either changes nothing about your bookings — you just won't be reminded.
- Legal basis: legitimate interests — Kalinka wants you not to miss your appointment. Each reminder is one message about a booking you made, never advertising, and you can stop them at any time.
- A password, if you create an account with one
- Stored scrambled, so nobody can read it. An account lets you see and change your own bookings.
- Legal basis: performance of a contract — the account you signed up for.
- A link to your Apple account, if you sign in with Apple
- Apple confirms your email address, and we keep the link so the same button signs you in next time. No password is stored, and nothing about your bookings is sent to Apple. If you asked Apple to hide your address, we get a forwarding one instead — mail still reaches you.

- A link to your Google account, if you sign in with Google
- Google confirms your email address and name, and we keep the link so the same button signs you in next time. No password is stored, and nothing about your bookings is sent to Google.

- How you use this site
- Rantevo, which runs this site, measures through PostHog how people move through it, to make booking easier on every site it runs. It records one in ten visits that reach the booking pages, chosen at random, with everything typed or written on screen hidden. It sees which pages are opened and which browser and device you use. Your IP address is discarded before anything is recorded. No profile of you is built, and nothing is stored on your device. Rantevo is responsible for these statistics, not the business: ask Rantevo about them at support@rantevo.com.
- Legal basis: legitimate interests — Rantevo's, in booking that works on every site it runs, measured without recording who anybody is.
- Your IP address
- Every website receives the address your device connects from. This site counts how often each address uses its booking and sign-in forms, so nobody can flood them, and deletes each count within two days of the last request it counts. If you have an account here, the address and the browser you used are kept with each sign-in until you sign out, and never for more than eight days after you last used your account here. Vercel, which serves this site, and Cloudflare, which stores its images, see it too, as any web host does. PostHog discards it before recording anything.
- Legal basis: legitimate interests — Kalinka needs this site to keep working and your account to stay safe from misuse, and the address is used for nothing else.
Who else sees it
Kalinka does not sell your details and does not share them for anybody's advertising. They are handled by Rantevo, who runs this site, and by the companies Rantevo uses to run it:
- Supabase — stores the booking records
- Vercel — serves this website
- Resend — sends the booking emails and the reminders
- Sinch — delivers text reminders, if you get them
- Cloudflare — stores the images on this site
- PostHog — measures how this site is used, for Rantevo
Each one is under a contract that requires it to protect your details and use them only for this. If you pay online, Stripe receives your payment too, as described above: it is Kalinka's own payment provider, not one of Rantevo's. Nothing else is shared unless the law requires it.
How long it is kept
Your details and your appointment history are kept for as long as Kalinka keeps your record, so that they know you when you come back. You can delete your account at any time; Kalinka keeps a record of the appointments themselves, with nothing in it that identifies you. If you create an account and don't confirm its email address within 7 days, the account is deleted. Bookings you've already made are kept.
What you can ask for
You can ask Kalinka to:
- give you a copy of what they hold about you
- correct anything that is wrong
- delete it
- stop using it, or restrict what they do with it
- stop sending you reminders, by email, by text or both
Ask Kalinka using the contact details above. They will not charge you, and you do not have to explain why.
If you are not happy
Speak to Kalinka first. If that does not resolve it, you can complain to the data protection authority in the country where you live.
